This policy explains what personal information I collect, why I collect it, how I look after it, and what your rights are. It is provided in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

I am the data controller for the information described in this policy.

The type of personal information I collect

To give professional reflexology treatments, I need to ask for and keep information about your health. I only use this for informing your reflexology treatments and any advice I give as a result of your treatment. The information held is:

  • Your contact and personal details
  • Medical history and other health-related information
  • Treatment details and related notes

How I get the information and why I hold it

Most of the personal information I process is provided directly by you, for one of the following reasons:

  • To book your treatment, if you use the online booking tool
  • To inform your reflexology treatments and any advice I give as a result of your treatment

I use the information you give me to provide you with the best possible treatment options, support and advice. I do not share this information with anyone outside my practice, except where I am required to do so by law.

Lawful basis for holding and using your information

Under the UK GDPR, the lawful basis I rely on for processing your information is my legitimate interests — namely my need to retain the information in order to provide you with the best possible treatment options and advice.

I also rely on legal obligation to keep certain records for the periods required by:

  • ‘Claims occurring’ insurance — records kept for 7 years after your last treatment
  • The law on children’s records — kept until the child is 25, or until 26 if they were 17 when treated
  • CNHC requirements — information retained for 8 years

Because I hold special category data (health-related information), the additional condition under which I hold and use this information is to fulfil my role as a health care practitioner bound by confidentiality under the Association of Reflexologists (AoR) Code of Practice and Ethics.

How I store your personal information

I am committed to keeping your personal data secure. To prevent unauthorised access or disclosure, I have appropriate technical, physical and managerial procedures in place to safeguard the information I collect from you.

I keep your records for the retention periods set out above. Once the applicable period has passed, I securely dispose of paper notes by shredding and then burning them. I will contact you using the contact preferences you give me.

Cookies

My website uses cookies — small text files placed on your device — to help the site work and to understand how visitors use it so that I can improve it. The site does not use cookies to track you across other websites or for advertising.

When you first visit the site you can choose to accept or decline non-essential cookies using the cookie banner, and you can change or withdraw your choice at any time through your browser settings. Declining non-essential cookies will not stop you from using the site.

Your data protection rights

Under data protection law, you have the right to:

  • Access — ask for copies of the personal information I hold about you
  • Rectification — ask me to correct information you think is inaccurate or incomplete
  • Erasure — ask me to delete your personal information in certain circumstances
  • Restriction — ask me to limit how I use your personal information in certain circumstances
  • Object — object to my processing of your personal information in certain circumstances
  • Data portability — ask me to transfer your information to you or to another organisation in certain circumstances

You are not required to pay any charge to exercise these rights. If you make a request, I have one calendar month to respond.

How to complain

If you have any concerns about how I use your personal information, you have the right to complain to me directly. Please contact me — by email or by post — setting out:

  • Your name and preferred contact details
  • A description of your concern, and which right(s) you believe are affected
  • The approximate date(s) when the issue occurred
  • Any relevant reference numbers, correspondence or documents

I will acknowledge your complaint within 30 days of receiving it. I will then look into it without undue delay, keep you informed of progress, and let you know the outcome.

If you remain dissatisfied with my response, you can complain to the Information Commissioner’s Office (ICO), the UK’s independent regulator for data protection. This service is free of charge.

Therapist’s rights

  • If you don’t agree to me keeping records about you and your treatments, or don’t allow me to use the information as needed for your treatment, I may not be able to treat you.
  • I must keep your treatment records for the periods described above, which means that even if you ask me to erase your details, I may have to keep them until that period has passed.
  • I can move my records between my computers and IT systems without your permission, provided your details are protected from being seen by others.
